Direct answer: a managing agent arranges the fire alarm servicing for the freeholder, RMC or landlord, who remains the Responsible Person. What the agent needs is the same service in every building: a BS 5839-1 visit at least every six months, a certificate and report per building, faults priced in writing before any work, and records that answer the client, the leaseholders and the fire service.
What a managing agent needs from a fire alarm contractor
Most of the work in a portfolio is not the visit. It is knowing that every building had one, and having the paper to prove it. This is how we set it up.
- Paperwork per building. A service certificate and a written report for every building after every visit, sent to you, and to your client if you ask.
- Nothing done without approval. Faults are priced in writing, and no work goes on your client’s account until you approve it.
- Access arranged on site. Visits agreed with the caretaker, concierge or keyholder.
- The weekly test covered. Whoever does it in each building, usually the caretaker or site staff, is shown how at the first visit and keeps the log book.
- BAFE SP203-1 registered for fire alarm work, so competence is shown by independent certification, not by our word.
Service charges and section 20
Fire alarm servicing in a block is usually paid through the service charge, so the way it is contracted matters to the leaseholders as well as to the client.
Under section 20 of the Landlord and Tenant Act 1985, an agreement for more than 12 months that costs any one leaseholder more than £100 a year is a qualifying long-term agreement, and works that cost any one leaseholder more than £250 are qualifying works. Both need consultation first, or recovery is capped at those sums.
Whether consultation applies is for you and your advisers. What we do is quote in writing before any work, with remedial work priced item by item.
Blocks of flats and multi-let buildings
In a block of flats, the system you manage is the one in the common parts, designed and serviced to BS 5839-1. Alarms inside the flats are a separate matter, under BS 5839-6, and often belong to each flat. We keep the two apart in the reports, so a fault in a flat does not end up on the block’s account. More on our blocks of flats page.
In a multi-let commercial building, the landlord’s system covers the common parts and often links to the tenants’ own systems. The report records which devices are the landlord’s, so the cost lands on the right side of the lease. See office fire alarms.
Taking over a portfolio from another contractor
Buildings rarely arrive in the same state. One has a current certificate, another a log book that stopped two years ago, a third a panel nobody can open. We start each building with a takeover report, report on its condition honestly, and bring the log book current at the first visit, so every building ends up on the same footing.
Higher-risk buildings
In a building at least 18 metres or seven storeys high with at least two homes, the Building Safety Act 2022 makes the Accountable Person keep information about the building and its fire safety systems. The alarm’s certificates, reports and log book are part of that record, and we supply them ready to file.
How we take on your buildings
Send us the list
The buildings, a postcode for each, the panel make if you know it, and the last certificate where there is one.
A free look at each system
An engineer checks the panel, the devices and the log book, so the quote rests on what is there.
A written quote
The price in writing before any work starts.
Visits every six months
A certificate and a written report for each building after every visit.
Faults approved before work
Priced in writing, for you or your client to approve.
Fire alarm maintenance for managing agents: your questions
Can we start with one building?
Yes. Start with one building, see a visit and the paperwork that follows it, and move the others across when their current contracts allow.
Can the emergency lighting and extinguishers be done on the same day?
Where it suits the building, yes. The annual full-duration emergency lighting test to BS 5266-1 and the extinguisher service to BS 5306-3 can be booked alongside one of the alarm visits, with their own certificates, so the caretaker or concierge gives access once.
What happens if a panel goes into fault between visits?
Call us or send the form and say what the panel shows. That is a repair visit, priced and approved before work, not something that waits for the next service. The fault and the fix go in the report for that building.
